Overview
OIT provides one primary computer setup for eligible employees (See the new deployment service to request).
Departments looking to acquire computer items such as monitors, printers or computers themselves need to contact the Office for Information Technology. This is to ensure that the best academic price is achieved, that the college tax-free status is utilized and to ensure compatibility with our systems. Any computer purchases made using college money (including grants and departmental purchases) need to be vetted by OIT for compatibility and serviceability.
The Office for Information Technology is committed to responsible sustainability and as such we practice these guidelines for computer purchasing and use:
- Purchase EnergyStar Gold/Silver Star and EPEAT Gold certified equipment. In 2024 all our computer, peripheral and printer purchases were EPEAT Gold certified.
- Prioritize hardware that generates less physical waste (a Mac Mini with Monitor instead of an iMac for example.)
- Set default power-saving settings on all hardware (projectors, displays, computers) to decrease energy demands.
- Deploy used computers reconditioned by OIT wherever possible instead of purchasing new equipment.
- Donate older decommissioned technology to local non-profit organizations for further use.
Contact Seth Rogers, Director of Client Services, at srogers@williams.edu to start a technology purchase. Smaller items like ergonomic keyboards, mice or external hard drives can be purchased without going through OIT. Apple items can be purchased from the Apple Store for Education. Other items are available online from sites like Amazon, Newegg, Staples or Govconnection.
This policy does not include cell or smart phones. That is covered under a different policy. See the related article section to the right.
Keep in mind any devices purchased with Williams funds (including grant and gift funds) are the property of the College and must be returned to the College at the time of equipment upgrade or separation from Williams. Information on the devices is subject to the Data Classification Policy and Usage Guidelines. All equipment, including electronic devices, purchased from federal grant funds must meet the requirements of the grant.
Also, the IRS continues to consider these types of equipment as listed property. Therefore, there is a possibility that, if the College or you were audited, the value of the equipment may be deemed taxable to you.
