Submit Journal Entry

Overview

The Finance Office can assist with journal entries and accounting adjustments within Workday.  To request a journal entry, please complete the appropriate template and submit a ticket by selecting the Request Service button. 

How to Submit a Request

  1. Download the attached Workday Journal Entry template located to the right of this page.
  2. Complete the appropriate template:
    • Accounting Adjustments
    • Funding Transfer
    • Manual Journal
  3. Submit a ticket and attach the completed template along with any supporting documentation.

Template Selection

To help determine which template to complete, below are examples of common adjustment requests and the corresponding template that should be used.  If you have questions regarding template selection, please contact accountants@williams.edu.

  1. Accounting Adjustment Template
    • Changing worktags on paid Expense Reports
    • Changing worktags on paid Supplier Invoices
  2. Funding Transfer Template
    • Co-sponsoring an event hosted by another College area
    • Providing financial support for a speaker or visitor hosted by another College area
  3. Manual Journal Template
    • Changing worktags on Ad Hoc Payments
    • Changing worktags on Internal Service Deliveries

Additional Information

  • Requests submitted without the required template or supporting documentation may be delayed.
  • Please provide a clear business purpose and adequate supporting detail for the requested adjustment.
  • The Finance Office may contact you within the ticketing system if additional information or approvals are needed.
